Email Setup

These instructions will help with your initial account setup and signing in to email on your devices. If you need any assistance or are unable to sign into your accounts, please reach out to someone from our IT team.

The domain for your IHMC email account is first initial + last name@ihmc.org. If you previously had an email account with an @ihmc.us domain, emails sent to that address will still be received at your @ihmc.org email account.

The password for this account will be the same as other services utilizing Active Directory such as the VPN, Gitlab, etc.

Instructions for initial login and MFA setup

  1. Go to outlook.office.com

  2. Log in with your @ihmc.org email address.

  3. A “More information required” message will appear. Click Next.

  4. Microsoft 365 uses Multi-Factor Authentication (MFA). There are multiple options: Microsoft Authenticator (app), 1Password, Phone, or Email. To select another option than Microsoft Authenticator, click either “I want to use a different authenticator app” (1Password) or “I want to set up a different method” (Phone or Email).

  5. Once you have set up MFA, you can proceed to your account.

  6. Follow these instructions to change your password from the initial password given to you.

Set up an email application on your device

macOS Mail
  1. Open Mail and go to Mail menu – Add Account.
  2. Choose Exchange.
  3. Enter your name and your @ihmc.org email address, then click Sign in.
  4. You will be prompted to sign in through Microsoft. Follow the prompts to log in.
  5. Once signed in, choose which features you want enabled (Calendar, Notes, etc.).
macOS Outlook
  1. Open Microsoft Outlook.
  2. Enter your @ihmc.org email address, then click Continue. If you have email accounts already set up in Outlook, go to Outlook menu – PreferencesAccountsAdd Email Account.
  3. You will be prompted to sign in through Microsoft. Follow the prompts to log in.
Windows Outlook
  • Open Microsoft Outlook.
  • Enter your @ihmc.org email address, then click Continue. If you have email accounts already set up in Outlook, go to File menu – Add Account.
  • You will be prompted to sign in through Microsoft. Follow the prompts to log in.
Mobile Devices: Outlook on iOS and Android

Security requirements limit email access to the Microsoft Outlook app for mobile devices. This means the default Mail apps will not work on iOS or Android.

Install Microsoft Outlook and Microsoft Authenticator

Note: You may already have Authenticator installed and signed in if you are using it for MFA (Multi-Factor Authentication).

Sign into Outlook

  • Open the Microsoft Outlook app and choose Add Account.
  • Enter your @ihmc.org email address and choose Add account. Outlook will then be redirected to Authenticator to sign in.
  • Approve the notification or enter the code from the Authenticator app.
    • If prompted for MFA for the first time, register Authenticator as instructed.
  • Once approved, Outlook completes authentication and finishes setup.
  • You will see a message in Outlook “Your organization is now protecting its data in this app. You need to restart the app to continue.” Outlook may close on its own, so then re-open to verify your email is accessible.
